Salary range: GSR Range G: $66,331 to $88,193 depending on skills and experience
About the Role - Kōrero mō te Tūranga
We are seeking an experienced Executive Coordinator to join the business and support team in Agriculture and Investment Services (AIS) business unit. The business unit works to create a thriving and sustainable future for farmers, growers, primary industries and rural communities, and cares for the health and wellbeing of animals. Is responsible for the operational delivery of compliance services associated with animals via our animal welfare inspectors, and National Animal Identification and Tracing staff. And is MPI's lead for natural adverse events affecting the primary sector and animals.
As an Executive Coordinator within AIS, you will provide extensive diary and email management for two busy Directors, acting as a vital link between them, their teams, the office of the Deputy Director-General (DDG) AIS and the wider business. You'll make sure your Directors have what they need to carry out their responsibilities with a focus on ensuring their priorities and deliverables are met. You will also be an integral part of our AIS Business Support team, working together to provide effective administrative and logistical services to the business unit.
As part of this role, you will:
- Facilitate the smooth running of the Director's offices by efficiently managing the Directors' schedules, ensuring alignment with their priorities and deliverables
- Establish and maintain effective working relationships with the business unit, wider MPI and external stakeholders
- Facilitate the efficient flow of information between the business unit, wider MPI and external stakeholders
- Work with other Executive Coordinators to ensure that support for the business unit is delivered effectively
- Identify any relevant system and process improvement opportunities within Directorates and the branch
- Provide administrative and logistical support during adverse event responses
About You - Mōu
Ideally you will be experienced in or currently working as an Executive Coordinator, Personal Assistant or similar administration support role.
Be able to demonstrate experience in providing exceptional support to senior management including strong interpersonal and communication skills, a solution-oriented approach, and a proven track record of establishing effective relationships.
Enjoy working in a fast-paced environment managing competing priorities.
To be successful in this role, you will ideally have:
- A minimum of two years' experience as an Executive Coordinator, Personal Assistant or similar administration support role preferably within the New Zealand government.
- Ability to prioritise, plan, organise and manage work in a fast-paced environment, with a strong understanding of business priorities;
- Ability to proactively take initiative in identifying and resolving potential problems as you develop solutions.
- Multi-tasking ability and flexibility to work in a dynamic environment
- Ability to work under pressure and meet tight deadlines
- Strong communication (both written and oral) and interpersonal skills to foster collaboration;
- Experience in managing workflow and records management;
- Strong understanding of MS Office products, e.g., Word, Excel, PowerPoint.
