Support Services Coordinator
Role type: Permanent, full-time
Location: Wellington City
Salary range & band: General Salary Range G: $67,658 - $78,771 depending on skills and experience.
About the role - Kōrero mō te tūranga
We are seeking a Support Services Coordinator to join the Business Support team which sits within the Programmes and Planning directorate of Policy & Trade. No two days will be the same in this role, and you'll bring an agile, energised and positive approach to the multitude of functions in which you'll be involved.
You will play an integral part within the team to provide logistical and administrative support ensuring the smooth running of the branch. You will work flexibly across the different functions of the team to provide support as and when it's required. This will include providing administrative support for Directors, the provision of logistical arrangements for visiting international delegations, and general support and backfilling for all other support functions. You will also analyse workflows, systems, and processes to coordinate and identify relevant improvement opportunities to enhance the capability of the branch support function.
You will also provide support to the Team Manager Business Support to set up and lead projects and initiatives within the Business Support Team and to coordinate and facilitate relevant training on support processes for the team and wider business unit.
As part of this role, you will:
- Coordinate and provide logistical support for visiting international delegations including arranging domestic travel and accommodation, catering, and providing meeting support.
- Facilitate and provide general administrative and logistical support and acting as a subject matter expert for relevant MPI corporate systems and databases.
- Provide accurate and timely administrative support to Policy and Trade's Directors when required.
- Work flexibly and collaboratively with the Business Support team and Executive Coordinators to ensure that support for Policy & Trade is delivered effectively.
- Identify any relevant system and process improvement opportunities within the Directorates and wider business unit.
- Set up and lead priority projects and initiatives within the Support Officer team that may involve the need to coordinate and manage the provision of information and advice from across Policy and Trade and/or MPI.
- Lift capability of the support officer team and wider Policy & Trade business unit through providing training and mentoring support for the Support Officers.

To be successful in this role, you will be able to demonstrate:
- Prioritisation, planning, and work management skills in a fast-paced environment – all based on understanding the key priorities of the business.
- Strong communication and interpersonal skills to foster collaboration.
- The ability to provide accurate and timely administrative and logistical support
- Openness to work flexibly across different support functions.
- Strong understanding of MS Office products, e.g., Word, Excel, PowerPoint.
- Experience in improving and/or implementing administration and business support systems and processes.
About the Team - Mō tō mātou Rōpū
This is a Wellington based role reporting to the Team Manager Business Support and working alongside a collaborative team of Support Officers as well as Executive Coordinators. While you will report to the Team Manager Business Support and work closely with your team, you will have the opportunity to sit with other Policy & Trade directorates to provide efficient and timely support while building meaningful relationships.
