Salary band & range: GSR G $67,658 to $78,771 depending on skills and experience
About the Role - Kōrero mō te Tūranga
As a Contracts Administrator, you will support the effective and efficient delivery of procurement and contract-related activity across MPI. You'll manage day‑to‑day administrative processes, ensuring contract documentation, systems, and tools are accurate, well‑maintained, and aligned with organisational standards. This role is ideal for someone who thrives on detail, enjoys working with a wide range of people, and takes pride in delivering precise and reliable administrative support.
You'll have the opportunity to work with every part of MPI, contributing to mahi that positively impacts Aotearoa. From supporting business units and engaging with customers, to helping maintain strong financial controls and ensuring the integrity of procurement processes, your work will provide valuable support to the organisation's wider objectives. In this role, you would have the opportunity to:
- Provide administrative support including receipt of contracts, updating relevant databases, and filing, archiving, and storing contract documentation
- Undertake critical checks on contract documentation to support MPI's financial control environment
- Complete due diligence on new suppliers and maintain the current register of MPI suppliers to ensure accuracy of information
- Follow user‑creation processes to ensure contractors and vendor representatives are added to MPI systems in line with their contractual obligations
- Manage multiple inboxes and ensure all requests and queries are responded to or acknowledged in a timely manner
- Identify and recommend improvement opportunities to streamline administrative processes and ensure consistency of operation
About You - Mōu
You bring strong administrative experience with a keen eye for detail, the ability to quickly understand and follow established processes, and confidence communicating clearly with a range of people. You'll be someone who has depth in administration rather than simply time served who understands customer needs, works to their timelines, and is comfortable handling a variety of administrative demands.
You'll be organised, efficient, and confident using the Microsoft Office suite, with a proven ability to learn new systems and processes quickly. We're looking for someone who genuinely enjoys administration and is seeking a long-term role. You don't need to know everything on day one, but you do need to be curious and ready to pick things up easily.
We are seeking an applicant with:
- experience in the contract administration process
- the ability to maintain effective relationships with customers and meet their expectations
- knowledge of procurement processes and related administration tasks
- a collaborative nature and a positive, ‘can‑do' attitude
- excellent written and verbal communication skills
- an ability to work independently as well as part of a team

About the Team - Mō tō mātou Rōpū
The Contract Monitoring and Administration team is part of the 22 strong Procurement and Commercial Management group, providing MPI business units with specialist advice, support, and tools to help them purchase goods and services in line with Government expectations. We also play a key assurance role by monitoring and reporting on procurement activities across MPI. Our work touches every part of the organisation, offering a vibrant mix of projects, customers, and challenges.
